GDPR and Data Protection

At MOCO Coaching, safeguarding confidentiality and ensuring full compliance with GDPR are fundamental to how we work. We understand the deeply personal nature of coaching and we are committed to providing a secure and trusted environment for every client we support.

Data Handling and Storage

We collect only the essential data required to deliver our services - such as names, contact details, coaching history and scheduling information. All personal data is:

  • Stored exclusively in the cloud via Microsoft Teams and Microsoft 365.

  • Protected through encryption and secure access controls.

  • Accessible only to your assigned coach and authorised administrators.

  • Never stored locally or shared with third parties without your consent.

Recording of Coaching Sessions

To support reflective learning and accountability, coaching sessions may be recorded via Microsoft Teams, with your explicit consent.

Recordings are:

  • Stored securely in the Microsoft Teams cloud environment.

  • Only accessible to the coach and, if requested, to the client.

  • Never shared with employers, colleagues or third parties.

  • Deleted upon request or after an agreed-upon retention period.

Clients always have the right to decline session recording. We will never record a session without your permission.

Confidentiality and Ethical Practice

Confidentiality underpins all MOCO Coaching relationships. Our coaches adhere to the ethical guidelines of accredited professional bodies (e.g., ICF, EMCC, BACP). We ensure:

  • Private, respectful coaching environments.

  • No disclosure of session content without clear, written consent.

  • Strict confidentiality agreements with both clients and partner organisations.

We build psychologically safe spaces where individuals can speak openly, free from judgement or external pressure.

Working With Employers

When working with companies, we agree clear data-sharing boundaries upfront. While we may provide anonymous progress reporting (e.g., engagement levels), personal coaching content is never disclosed without the coachee’s written approval.

We balance organisational goals with individual privacy - ensuring trust is never compromised.

Your Rights Under GDPR

Under UK GDPR, you have the right to:

  • Access any personal data we hold

  • Correct or update your details

  • Request deletion of your data

  • Withdraw consent to recording or data use at any time

To make a request, please email us at: info@MocoCoaching.co.uk

At MOCO Coaching, we empower people through change - and that includes protecting their data, privacy and dignity. Our use of Microsoft Teams provides a secure, professional platform for coaching that aligns with modern compliance and client expectations.
